Description:
Cardiff University is seeking an Administrative Assistant to join the Staff Immigration and Global Mobility team within the central Human Resources Operations Department. The role provides professional support and guidance to staff and managers on immigration, visas, recruitment, and international mobility, ensuring compliance with relevant regulations and university policies.
This role contributes to enabling the University to recruit and retain global talent while providing excellent administrative support. The position can be performed on a hybrid basis, combining campus presence with remote work.
Provide personal support to new and current staff on immigration, visa pathways, recruitment, right to work, and global mobility/work abroad processes.
Work closely with HR professionals to deliver high-quality support services.
Maintain administrative and transactional processes related to visas and immigration, including record-keeping and correspondence.
Advise and guide colleagues across the University on immigration, recruitment, and mobility matters, including:
Visa pathways
ATAS (Academic Technology Approval Scheme)
Sponsorship certificates
Right to work verification
Recruitment and job posting processes
Global mobility applications and international work arrangements
Collect and analyse data (e.g., visa holder statistics) to inform decisions, identify trends, and produce reports.
Establish productive relationships with internal and external stakeholders to enhance service quality.
Identify and implement improvements to office systems and processes.
Work independently, prioritizing tasks and supporting team objectives.
Clear, concise, and professional written and verbal communication skills.
Specialist knowledge in staff immigration, recruitment, and global mobility/work abroad.
Ability to advise and influence key stakeholders effectively.
Strong problem-solving and initiative-taking skills.
Experience in office administration with attention to detail and process improvement.
Ability to work independently and manage competing priorities.
Desirable: Experience in higher education settings and knowledge of Welsh language or willingness to learn.
