Internal Applicants Only – Administrative Officer (GP SIFT)
This part-time and open-ended role offers a unique opportunity for current employees of Cardiff University to contribute to the Centre for Medical Education within the School of Medicine. As part of the Planning and Resources Team, the successful candidate will play a vital role in supporting students undertaking placements with General Practitioners and will co-lead all aspects of financial administration related to SIFT (Service Increment for Teaching).
The role involves working closely with Operations Managers and another Administrative Officer to manage the day-to-day operations of GP SIFT funding, including budget control and teaching support. A broad range of administrative duties will be performed, with a focus on financial governance, budget authorization, NHS bursaries, data collection and analysis, and liaison with academic staff and students.
This role demands a high degree of operational awareness, discretion, and initiative, as the candidate will advise colleagues and students on financial matters, authorize budget-related transactions, and support reporting, planning, and monitoring activities. The role is based at the Heath Park Campus in Cardiff, but hybrid working is supported, offering flexibility between on-campus and home-based work depending on business needs.

Work Pattern:
Wednesday: 3.5 hours
Thursday: 7 hours
Friday: 7 hours
Key Responsibilities:
Provide detailed financial administrative support to the Centre for Medical Education.
Offer expert guidance to internal/external stakeholders on GP SIFT policies and financial procedures.
Manage financial information and projections related to SIFT allocations and expenditures.
Handle NHS bursary guidance and support.
Collect, analyze, and report on GP SIFT data to aid decision-making.
Ensure compliance with University Financial Regulations and School policies.
Support research grant management and liaise on appropriate spending and timely appointments.
Essential Criteria:
Strong written communication skills for providing detailed financial guidance.
High numeracy and IT literacy.
Experience in administrative environments and system improvement.
Specialized knowledge of financial administration.
Ability to clearly communicate complex information to various stakeholders.
Problem-solving aptitude and independent task management.
Proficiency in prioritization, planning, and team collaboration.
