What you do as a personal assistant to the director of the business unit (DBU)

As the personal assistant, you will be doing the following:

 

  • provide administrative support to the business unit director and other senior members of the team
  • manage calendar, including making appointments and prioritizing the most sensitive matters
  • draft, review, and send communications on behalf of DBU
  • organize travel arrangements, including visa applications
  • prepare reports, presentations, and correspondence
  • prioritize emails and respond when necessary
  • handle confidential information with discretion
  • make sure that every business unit management meeting runs smoothly. This includes scheduling, draft minutes, organizing catering when necessary, and keeping the time
  • support with administrative and coordination needs for internal, external events, and meetings
  • provide cover for other personal assistant/secretarial staff as necessary
  • undertake ad-hoc projects as required
  • coordinate content/input for and distribute business unit newsletter(s)
  • work together with other secretaries within the business unit to coordinate secretarial activities in the business line

What You Bring

  • bachelor's degree level
  • minimum of 3 years’ experience in a similar role
  • excellent organizational skills with attention to detail
  • strong English communication skills, both written and verbal (Dutch language is a plus)
  • ability to work independently and as part of a team
  • good understanding of MS office package (including SharePoint & teams) and CRM
