Description:

The UK Health Security Agency (UKHSA) offers hybrid working – this means that whilst the role will be based in Colindale, there will be opportunities to work from home. The number of days in the office will be agreed on an individual basis by your line manager, but the majority of people currently in the team do not attend the office regularly.Please be aware that this role can only be worked from within the UK and not overseas. Relocation expenses are not available

Job description

Main Duties and Responsibilities:

  • To support the Business and FBP in being the first point of liaison for PHM budget or finance related queries for MaPs and any procurement matters
  • To help the Business Manager and FBP with the financial operations including expenses, invoicing, raising requisitions, orders, and credit notes and ensuring all expenditure is within UKHSA guidelines
  • To be responsible for receipting goods and services on MaPs in a timely manner and complete regular reviews to ensure the receipted amount is accurate following invoiced payments.
  • To provide administration support as required to assist the Business Manager to participate in annual budget setting meeting with Senior Managers / finance team
  • To support r in the production of completing project statement/contracts to be shared for audit purposes including the running of reports, querying of databases, collation of data from different sources and summarising data in an appropriate format.
  • To provide assistance with validating quarterly and annual data and assist Project Leads in identifying costs for the preparation of costings by the FBP for revenue proposals for submission to the Opportunity Assessment Groups (OAGs)
  • Provide support to project managers by monitoring expenditure activities and reviewing the forecast and variances on research projects for externally funded grants including scheduling financially associated milestone & deliverables ensuring spending is within allocated budgets.
  • Ensure timesheets are entered against each project in a timely manner.
  • To provide ad hoc reports and respond to ad hoc data requests as and when required.
  • Conduct the year end statements process, accruals and stock taking activities
  • Undertake effective line management of staff (if applicable) within area of responsibility, including: undertaking annual appraisals and ensuring direct reports have access to appropriate training and induction; progressing any disciplinary or capability issues, as necessary; and participating in recruitment process of administrative staff
  • Be aware of, and put into practice, all policies and procedures to maintain confidentiality of patient information. To ensure data confidentiality and security in compliance with relevant policies, the Data Protection Act, and other statutory requirements (

  • Identify, discuss and action own professional performance and training / development needs with your line manager through appraisal / individual development plan. Attending internal / external training events
  • To participate in all mandatory training as required, i.e. fire safety, information governance and all other mandatory training.
