Description:

Psicon, a specialist neurodevelopmental service working closely with NHS trusts across the UK, is looking for a dedicated Weekend Front of House Co-ordinator to support their Canterbury clinic. This is a part-time, employed office-based position with flexible working hours ranging from 22.5 to 30 hours per week, scheduled from Friday to Monday inclusive.

In this client-facing role, you will serve as the welcoming face of the clinic, supporting a variety of administrative and operational tasks. Your efforts will ensure patients, families, and visitors receive a smooth and supportive experience while maintaining clinic efficiency and adherence to healthcare standards.

You will manage front-of-house duties, liaise with visitors and stakeholders, support internal teams with documentation and communication tasks, and help uphold a positive, calm clinic environment.


Key Responsibilities:

  • Work onsite in Canterbury from Friday to Monday, covering 22.5–30 hours per week

  • Greet and assist clients, patients, children, and families visiting the clinic

  • Oversee visitor sign-in processes and ensure proper distribution of visitor passes

  • Maintain tidy, welcoming, and calm waiting areas for a positive client experience

  • Coordinate and manage the flow of daily administrative front-of-house operations

  • Support clinical and administrative teams by answering calls, handling post, and uploading relevant documents to digital systems

  • Assist in clinic appointment coordination and timely communication of any scheduling changes

  • Participate in regular audits and work collaboratively to meet internal KPIs and regulatory standards (CQC, NICE)

  • Liaise with contractors on behalf of the Estates Manager and ensure the Facilities team is kept informed of site-related matters


Person Specification:

  • Strong interpersonal skills and ability to communicate clearly in writing and verbally

  • Ability to work independently and collaboratively with a team

  • Comfortable handling sensitive information and interacting with diverse individuals, including children

  • Excellent IT proficiency, particularly with Microsoft Excel and data presentation

  • Detail-oriented and capable of multitasking while maintaining service quality

  • Previous experience in a similar NHS or healthcare administrative role preferred

  • Confident in escalating concerns or risks related to service delivery or KPI achievement

  • Motivated to learn about the NHS structure and operational frameworks if not already familiar
