Description:
You will provide administrative support/EA support to the Private Client and Family team.
Role Responsibilities
- Diary Management
- Handling all new client enquiries
- Manage all meeting bookings, ensuring refreshments and all required information is available
- Manage Solicitor mailboxes, filing and flagging where appropriate
- Scan mail into system, organising for relevant party
- Manage client projects when required, creating powerpoint presentations
- Typing client correspondence when required
- Support other teams in times of absence/holidays
- Ensure all dictation work is completed on time for the team, working with the document team, proofreading when needed
- Ensuring the case management system is updated at all times
- Prepare draft letters of engagement
- Billing, ensuring clients are billed appropriately
- Expenses
- Work with the cash room team to ensure all invoices are paid accordingly
- Minute taking when required
- Arranging meetings on behalf of Charities and Trusts
- Collating paperwork for meetings and distributing
- Managing gift aid claims
- Liaising with external stakeholders such as HMRC and Charity regulators
- Managing grant applications and issuing relevant letters
Key Skills
- Strong EA/PA experience, within Private Client
- The ability to work independently but equally as part of a team
- Excellent knowledge of all MS applications including Excel and PowerPoint
- Excellent communication skills both written and oral
- Flexible and adaptable to change, strong problem-solving skills
- Strong attention to detail, the ability to work under pressure
- Commercial aware and client focused
- The ability to collate complex information and present a simple solution
- Excellent IT skills
