Office Administrator

 

Description:

You will provide comprehensive day-to-day support to ensure smooth and efficient operations across the Company. This is a varied and hands-on operational role that will see you work across all business areas, as well as engaging with external partners, suppliers, customers, and other stakeholders. The position will require you to work flexibly and within a fast-paced environment.

 

Duties

  • Manage the smooth running of the office.
  • Develop and administer office management processes and systems to ensure the efficient and effective running of the office.
  • Liaise with contractors to ensure office maintenance is kept in good condition and contracts are kept updated.
  • Manage the purchase & maintenance of office equipment, facilities and services.
  • Monitor stock levels of refreshments and stationery and replenish as necessary.
  • Assist with the company’s new employee induction process.
  • Process invoices and proformas and link them to POs.
  • Provide secretarial and administrative assistance to the senior management team.
  • Coordinate office events (such as MiAlgae Highlights and Lunch & Comms)
  • Manage the reception area, including greeting visitors, answering telephone calls, etc.
  • Work with the company’s cleaners to ensure that all common areas in the offices are maintained.
  • Test and record fire alarms and emergency lights, as well as checking that escape routes and exit doors are clear and functional.
  • Monitor office and lab energy efficiency.
  • Manage day-to-day mail, emails, enquiries, and deliveries, and support the wider team with placing orders when necessary.
  • Undertake any other duties appropriate with the level of this position.

Qualifications and Experience:

Required

  • HND in business support or relevant professional qualification.
  • Proven experience as an office administrator or relevant role.
  • Familiarity with office management procedures and basic accounting principles
  • Highly motivated with the ability to multi-task, prioritise and manage workload within agreed parameters.
  • Excellent attention to detail.
  • Professional and confident manner with strong communication skills.
  • Experienced user of MS Office (Microsoft Word, PowerPoint, Excel) and video tools.
  • Experience in managing sensitive data and confidential information.

 

Preferred

  • Knowledge of finance platforms such as Xero or Sage and budget tracking.
  • Demonstrated experience of working with senior management in an administrative supporting role.
  • Experience working within a challenging environment such as an SME.
