Description:
OMD UK is seeking a proactive and highly organized Personal Assistant (FTC) to provide exceptional administrative support to senior leadership, including the CSEO, CIO, CPO, and HOP. This role is integral in ensuring the smooth coordination of executive schedules, meetings, and projects, allowing the leadership team to maximize their productivity and strategic focus.
The successful candidate will demonstrate a positive, can-do attitude, discretion, and excellent time management skills while thriving in a hybrid working environment.
Key Responsibilities
Manage and coordinate multiple executive diaries, liaising with internal and external stakeholders to schedule meetings and proactively resolve conflicts.
Organize and prepare meeting agendas, distribute materials, and manage attendee communications.
Process and reconcile executive expenses in a timely manner.
Arrange meeting rooms, catering, and IT setup for internal and client meetings.
Welcome and manage visitors, ensuring a seamless and professional experience.
Support the coordination of client entertainment, events, and large-scale industry functions.
Handle occasional office administration such as IT equipment or stationery orders.
Collaborate on special projects, including research, reports, or event management, working closely with cross-functional teams.
Assist in organizing company-wide “All in Days” events and internal initiatives.
