Programme Administration Assistant

 

Description:

To provide high quality and comprehensive administrative support to staff and students. This includes supporting Programme Administrators and others in the management of programmes, issuing advice and guidance to students, providing support to committees, finance support and general office administration.

Key Responsibilities are (but not limited to):

You will be responsible for the administration of programmes from programme development and approval onwards and will support students throughout the student lifecycle from induction through to teaching, assessment, and graduation.

  • Take responsibility for issuing standard advice and guidance to students, working with, and using information from, Programme Directors, teaching staff and other teams where needed.
  • Staff the student support desk on a regular basis, with support from others in the team
  • Participate as required in activities run by the Faculty of Education department, including registration induction, open days, interviews, graduation, and accreditation events by professional, statutory, and regulatory bodies.
  • Support the Student Advice and Wellbeing team to deliver pastoral support to students including issuing advice, supporting events, and referring students who need additional support.
  • Work with other teams across the Faculty of Education Department and wider School to support student-focused or major LSTM events such as Graduation.
  • Support the team by ensuring that the intranet site and Brightspace information pages are kept up to date with relevant information.
  • Act as secretary to Team meetings and others for the department as required.
  • Organise meetings, prepare agendas and papers and take minutes for relevant LSTM committees such as Boards of Studies, Boards of Examiners, Progress Boards, Extenuating Circumstances Committees, Quality Management Commitment as required.

The Candidate:

  • A minimum of 5 GCSEs at Grade C or above (or equivalent) including English Language and Maths
  • Evidence of accurately and independently interpreting and applying regulations and operating procedures in the workplace
  • Experience of working in a customer facing environment
  • Strong IT Skills, including word processing, spreadsheets, databases and use of e-mail and the internet.
  • Excellent written communication skills with proven ability to use these to convey routine information in a polite and efficient manner with accurate spelling and good grammar.
