ICSI, a global movement driving engineering action for infrastructure sustainability, resilience, and climate change, is seeking a Project Coordinator to join their dedicated team. This is an exciting opportunity for a highly organized and proactive professional to play a key role in coordinating multiple projects and supporting global initiatives aimed at creating sustainable and resilient infrastructure.
As Project Coordinator, you will work closely with the Senior Programme Manager to ensure the smooth delivery of ICSI’s projects, events, and publications. This dynamic role will require excellent communication, organizational skills, and stakeholder management experience, as well as a passion for sustainability and climate action.
Key Responsibilities:
- Report directly to the Senior Programme Manager, providing regular project updates.
- Build and maintain strong relationships with key stakeholders, ensuring clear communication and alignment on project goals.
- Assist in the preparation and delivery of ICSI publications and events.
- Maintain and improve project information management systems, ensuring folders and documents remain up-to-date and organized.
- Identify process improvements to enhance efficiency and streamline workflows.
- Support ICSI projects through research, including desk-based research and qualitative data gathering.
- Contribute to operational processes including information systems management, contracts and grants management, financial oversight, and strategic coordination.
- Identify and proactively mitigate risks and issues that could impact project delivery.
- Schedule and lead project meetings, documenting key actions and outcomes.
Specific Communications and Events Responsibilities:
- Support strategic communications, including managing social media, website updates, and external communications.
- Create clear and engaging content for a variety of audiences.
- Assist with ICSI’s contributions to global events and conferences.
- Organize and support ICSI-led events and partner events from planning through to on-the-day delivery.
Requirements:
Essential Skills & Knowledge:
- Undergraduate degree in a relevant subject (e.g., Sustainability, Environmental Sciences, Climate Change, or related fields).
- Proven experience in managing projects — from planning to execution and delivery — within agreed timelines and budgets.
- Strong stakeholder engagement skills, ensuring clear communication and collaboration across diverse internal and external partners.
- Experience convening and managing multi-stakeholder workshops, consultations, and events.
- Ability to capture lessons learned and contribute to continuous improvement processes.
- Excellent verbal and written communication skills, with the ability to communicate complex ideas clearly to varied audiences.
- Strong analytical and problem-solving skills to proactively identify and resolve challenges.
- Experience managing events such as roundtables.
Desirable Skills & Knowledge:
- Master’s degree in a relevant field.
- Professional certifications (e.g., PMP, PRINCE2 or similar).
- Familiarity with project management software and tools.
- Experience booking and managing travel arrangements within budget constraints.
- Experience leading roundtables and panel discussions from planning to post-event reporting.
- Strong writing skills for social media content, LinkedIn posts, blogs, and website updates.
- Experience managing and updating websites.
- Experience managing organizational social media accounts (especially LinkedIn).
Contract Type:
- Fixed-term 12-month contract, with potential to extend.
