Project Support Office

 

Description:

  • Supporting the project team to ensure project planning and implementation is delivered
  • Coordinating and leading on all aspects of boards associated with the projects
  • Be responsible for a high standard of work, planning, executing and finalising projects according to strict deadlines, quality standards and in a cost-effective manner, within budget. This includes acquiring resources and coordinating the efforts of team members and third-party contractors or consultants to deliver projects according to plan
  • Managing project development from beginning to end, maintaining the project initiation document and associated plans with regular team meetings to monitor progress and resources
  • Supporting the team in the delivery of project plans, allocating tasks as appropriate, identifying risks, issues and dependencies, considering best practice and current options and ultimately making decisions in the best interest of the project
  • Undertaking task management responsibility for relevant staff on individual workstreams as agreed with the Deputy Director
  • Conducting project evaluations and create a recommendations report in order to identify successful and unsuccessful project elements
  • Supporting the development of content and respond to immediate service specific queries from internal and external stakeholders
  • Support and advise on procurement and business intelligence requirements to ensure GCS is fulfilling its legal duties
  • Provide helpful, ad hoc help and support when requested by colleagues, providing contemporary service delivery/clinical advice, using initiative to give relevant information or sign-posting
  • Communicate effectively and build relationships with colleagues across the directorate, the organisation and key external stakeholder organisations
  • Support the preparation of communications such as reports, briefings, guidance and presentations

Person specification

Experience / Ability

  • Previous formal project management experience in a program is essential - ideally at least 2 years of experience in this environment
  • Coordination, organisation, and prioritisation
  • Analytical thinker, who enjoys problem-solving
  • Strong interpersonal and communication skills
  • Ability to juggle and engage across a wide range of issues
  • Resilience and commitment to a high standard of delivery in high-pressure environments
