Projects Manager

 

Description:

Universal Music Group UK is seeking a Workspace & Projects Manager to join their UK Property Services department. The role is focused on the planning, execution, and monitoring of projects across UMG’s UK property portfolio. This hybrid role requires a hands-on approach, with the primary base at UMG UK 4PS Site and occasional visits to other UMG-owned or affiliated sites.

This is an 18-month fixed-term contract position.


Key Responsibilities:

Operational Duties:

  • Manage monthly floor plans and space planning, updating for moved employees, new starters, and leavers.

  • Oversee office moves and projects, ensuring timelines, budgets, and business requirements are met.

  • Provide information and escalation points for health and safety matters during projects.

  • Produce safe work systems and communicate to all relevant parties.

  • Follow procurement guidance and ensure value for money when sourcing quotations.

  • Consult and coordinate with contractors, M&E teams, and other stakeholders.

  • Record and track projects in the helpdesk system.

  • Conduct quality inspections and maintain high operational standards.

Organisational Duties:

  • Implement structured work methods and sound procedures.

  • Utilize project tracking systems (e.g., Monday.com) for project coordination.

  • Perform quarterly reviews on office allocation and processes.

  • Continuously review practices to ensure team compliance with standards.

Collaboration & Communication:

  • Maintain professional and efficient communication with internal customers and colleagues.

  • Conduct weekly meetings with contractors and teams to ensure up-to-date project documentation.

  • Enable open decision-making and effective influence at all levels.


Skills & Experience Required:

  • Previous experience managing office relocations, moves, and projects.

  • Strong project management experience (Prince2 desirable).

  • Exceptional diplomacy, influencing, and communication skills.

  • Eye for detail and strong organisational skills.

  • Knowledge of facilities systems, FM performance measurement, AutoCAD, and setting up procedures.

  • Ability to build relationships across all levels and manage outsourced service providers.

  • IOSH and/or NEBOSH certification desirable.

  • Membership of IWFM is desirable.

  • Ability to prioritise, pre-empt problems, and deliver projects on time and within budget.
