We are seeking an experienced Senior Executive Assistant with a strong finance focus to support our CEO and team across key administrative, financial, and operational areas. This role is designed for someone who is confident in navigating financial systems, supporting employee transactions across Europe, and clients globally. Key Responsibilities

 

Operational Support

  • Contribute to internal project coordination and planning cycles
  • Book and manage travel for a remote team
  • Maintain clear documentation and records across systems
  • Manage digital tools such as Asana, Google Workspace, Toggl, and file storage
  • Work closely with team members to ensure operational consistency and standardised processes
  • Arrange and manage accessibility accommodations and vendors for company activations and events

 

Financial Coordination

  • Manage day-to-day financial admin, including:
  • Budget tracking across projects and operations
  • Invoicing, reconciliation, and expense processing
  • Reconciling VAT, VIES and other tax-linked statements
  • Supporting contractor payments and liaising with our accountants
  • Collaborate on financial forecasting and reporting for internal use and client work
  • Assist in preparing financial documentation and submissions
  • Contribute ideas for improving our financial processes and tools

 

Executive & Administrative Support

  • Coordinate diaries, meetings, and inboxes, supporting the CEO in managing priorities
  • Prepare materials, notes, and action summaries for meetings
  • Help facilitate internal and external communications with clarity, access and care
  • Support ongoing relationship management with partners, clients, and collaborators

 

Travel

  • Local, national, and international travel may be required occasionally, on an ad-hoc or project-specific basis. Travel will be discussed in advance and in alignment with individual access accommodations and preferences.

Compensation & Benefits

Salary:

  • £40,000 – £45,000 GBP, depending on experience and location
