Role Summary

The Taught Student Administration section within Registry is primarily responsible for the progression of our students from Registration to Graduation, and the maintenance of their associated student records. This will include all of our compliance obligations and managing the process involved in students making this journey (e.g. Leave of Absence, programme transfers, End of Session, etc.)

The post of Taught Student Administration Team Leader is responsible for the work of the team that incorporates two Assistant Team Leaders, Taught Student Administrators, a Taught Student Administration Assistant and a Support Officer. Members of Taught Student Administration work primarily with students from named academic Schools, initiating and/or answering queries from staff and students in those Schools about all aspects of student record data and students’ progress. The team, as part of Registry, also undertakes projects and activities such as complying with the University’s reporting requirements under the UK Visas and Immigration’s Points Based System and involvement with BIRMS (Banner Interface Records Management System) developments and enhancements, with a particular role in providing advice and support for School users of BIRMS.

This is a key role in the Student Administration team in Registry. The team leader will oversee the day-to-day management of processes and workflow in the team; have particular responsibility for the electronic systems which support the work of Taught Student Administration and will ensure that work is carried out to agreed service standards.

Main Duties

  • To manage the work of the Taught Student Administration team
  • Using available tools to monitor and review service levels and quality of work in order to ensure a high standard of customer service to all stakeholders
  • Regular two-way communication through Team Briefing, Team Meetings, 121 meetings and through other mediums
  • Promoting flexibility of working methods to ensure the team can respond to workload pressures as required
  • Encourage and facilitate team working by coaching and empowering staff
  • To provide line-management to two Assistant Team Leaders
  • Through the Assistant Team Leaders and Support Officer manage the workload of the Taught Student Administrators, Taught Student Administration Assistant
  • Oversee, and ensure completion of, the annual cycle of work e.g. Registration, monthly data audits, End of Session (Main, Supplementary and PGT Dissertation), Degree Congregation preparation and checking
  • Identify and recommend to the Deputy Heads of Taught Student Administration changes to internal processes and procedures which will be of benefit to the section and its customers, whilst meeting internal and external quality assurance expectations (e.g. HESA,ESFA)
  • Ensuring that team members are fully trained and confident in all aspects of their roles and can perform their duties to the required standards
  • Management of projects that support key strategic goals of the team
  • The maintenance and development of electronic systems used in Taught Student Administration
  • To support the operational management of the examination processes and progression and award for approximately 35,000 students on a variety of taught programmes at the University throughout the academic year
  • Management of Student Fees Data
  • Working with the Deputy Heads of Taught Student Administration to develop and monitor activities within the remit of Taught Student Administration relating to the processes and systems which support University programmes with non-standard characteristics and the University’s taught Collaborative, Apprenticeship and short Course programmes
  • Work with the Deputy Heads and Head of Taught Student Administration to ensure the completeness and accuracy of Undergraduate and Postgraduate Taught student data in student record systems
  • Build and maintain productive relationships with Professional Services staff who have involvement/investment in student related activities e.g. Admissions, Planning, Finance, International Relations, IT Services, Legal Services
  • Build effective networks and develop relationships with colleagues in academic Schools and Departments, Academic Services and other areas of Professional Services and to use these networks for peer support and knowledge sharing
  • Assist other members of the team, subdivision and Division during periods of heavy workload, or where their specific knowledge/expertise is required

  • To undertake such other duties, projects or special tasks which may be assigned from time to time in discussion with the Head of Taught Student Administration
