We are seeking a proactive and detail-oriented junior project manager to support the Society’s events, communications, community engagement, and general operations. This is a dynamic and varied role, ideal for someone who enjoys working across multiple workstreams and thrives on combining organisation, creativity, and collaboration in their day-to-day work.
Job Description
Key Responsibilities:
Project & Team Support
- Support the planning, coordination, and delivery of cross-team projects and initiatives
- Maintain project plans, timelines, and trackers to ensure activities stay on schedule
- Coordinate with internal and external stakeholders to support project delivery
- Follow up on actions and ensure deadlines are met.
Events & Conference Coordination
Support the delivery of ECFS events, including assisting the team to:
- Provide coordination support for the scientific programme, including liaising with speakers, tracking key milestones, and assisting with programme logistics and communications
- Coordinate non-scientific conference activities (e.g. award ceremonies and special sessions)
- Liaise with student helpers, travel grant recipients, and volunteers.
Communications
- Draft and distribute regular email communications and member updates
- Support the preparation and coordination of presentation materials for key stakeholders (e.g. President, Chairs), ensuring consistency, accuracy, and timely delivery
- Coordinate the production and distribution of newsletters
- Monitor the ECFS inbox and respond to or escalate queries appropriately
- Ensure consistency in tone, messaging, and accessibility across communications.
Website & Social Media
- Update website content (no coding required)
- Compose and schedule content across social media platforms (e.g. LinkedIn, Facebook, Instagram)
- Support the maintenance of brand consistency across digital channels.
Administrative & Operational Support
- Maintain and organise file repositories and internal databases
- Provide administrative support, including scheduling meetings and managing documentation
- Identify opportunities to improve processes and team efficiency.
Relevant Skills & Experience
Essential
- Educated to degree level or with equivalent relevant experience
- Excellent written and verbal communication skills, with fluency in English
- Confident communicator, comfortable working in an international environment
- Strong organisational and administrative skills, with the ability to manage multiple tasks and deadlines
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Forms)
- High level of accuracy and attention to detail
- Ability to prioritise and manage information effectively
- Proactive, solution-focused mindset with a positive, team-oriented approach
- Comfortable working independently in a remote, distributed team.
Desirable
- Experience supporting events or coordinating logistics
- Experience working in an international or multicultural environment
- Familiarity with digital communication tools (e.g. Brevo) and social media platforms
- Experience using website content management systems (CMS)
- Experience working within a membership-based organisation or medical/scientific society
- Proficiency in an additional European language.
