Junior Project Manager

We are seeking a proactive and detail-oriented junior project manager to support the Society’s events, communications, community engagement, and general operations. This is a dynamic and varied role, ideal for someone who enjoys working across multiple workstreams and thrives on combining organisation, creativity, and collaboration in their day-to-day work.

 

Job Description

Key Responsibilities:

Project & Team Support

  • Support the planning, coordination, and delivery of cross-team projects and initiatives
  • Maintain project plans, timelines, and trackers to ensure activities stay on schedule
  • Coordinate with internal and external stakeholders to support project delivery
  • Follow up on actions and ensure deadlines are met.

 

Events & Conference Coordination

Support the delivery of ECFS events, including assisting the team to:

  • Provide coordination support for the scientific programme, including liaising with speakers, tracking key milestones, and assisting with programme logistics and communications
  • Coordinate non-scientific conference activities (e.g. award ceremonies and special sessions)
  • Liaise with student helpers, travel grant recipients, and volunteers.

 

Communications

  • Draft and distribute regular email communications and member updates
  • Support the preparation and coordination of presentation materials for key stakeholders (e.g. President, Chairs), ensuring consistency, accuracy, and timely delivery
  • Coordinate the production and distribution of newsletters
  • Monitor the ECFS inbox and respond to or escalate queries appropriately
  • Ensure consistency in tone, messaging, and accessibility across communications.

 

Website & Social Media

  • Update website content (no coding required)
  • Compose and schedule content across social media platforms (e.g. LinkedIn, Facebook, Instagram)
  • Support the maintenance of brand consistency across digital channels.

 

Administrative & Operational Support

  • Maintain and organise file repositories and internal databases
  • Provide administrative support, including scheduling meetings and managing documentation
  • Identify opportunities to improve processes and team efficiency.

 

Relevant Skills & Experience

Essential

  • Educated to degree level or with equivalent relevant experience
  • Excellent written and verbal communication skills, with fluency in English
  • Confident communicator, comfortable working in an international environment
  • Strong organisational and administrative skills, with the ability to manage multiple tasks and deadlines
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Forms)
  • High level of accuracy and attention to detail
  • Ability to prioritise and manage information effectively
  • Proactive, solution-focused mindset with a positive, team-oriented approach
  • Comfortable working independently in a remote, distributed team.

 

Desirable

  • Experience supporting events or coordinating logistics
  • Experience working in an international or multicultural environment
  • Familiarity with digital communication tools (e.g. Brevo) and social media platforms
  • Experience using website content management systems (CMS)
  • Experience working within a membership-based organisation or medical/scientific society
  • Proficiency in an additional European language.
