Publishing Assistant

 

Description:

Our team of seven publishers is responsible for a portfolio of over 50 English-language scientific journals in the fields of genetics, biophysics, bioengineering and biotechnology. The Publishing Assistant provides a vital role in supporting the internal publishing team by handling a variety of non-strategic matters.

As well as providing core support to the in-house team, the role involves building excellent working relationships with external Editors as well as with other internal teams such as production, journal editorial office and other supporting teams.

The successful candidate must be flexible, able to prioritize, organize and coordinate work assignments, and able to determine the most efficient way to accomplish each task.

Role Responsibilities:
 

  • Handle non-strategic matters to maintain scholarly journals: prepare new agreements, update internal systems, request payments, and maintain other journal records.
  • Prepare materials for team reports, conferences, and board meetings, including assistance with PowerPoint presentations. Request annual journal reports and monitor schedule.
  • Handle general enquiries from within Springer and from external partners, esp. external editors and authors
  • Develop strong working relationships with colleagues across all departments to coordinate ongoing production, editorial office, marketing, conferences, and other internal department deadlines.
  • Respond to routine enquiries from customer services
  • Working with internal databases and other software to track projects across a portfolio of journals
     

Experience, Skills & Qualifications:

Essential
 

  • Ability to work autonomously and responsibly
  • Very strong computer skills required, particularly in MS 365 applications, such as Word, Excel, PowerPoint and Teams
  • Ability and interest to learn company-specific systems and workflows
  • Laser focused attention to detail; exhibiting strong organizational and analytical skills are a must
  • Excellent written and oral communication skills
  • Flexibility and ability to work in a multi-cultural environment
